There are four telephone prefixes on campus: 685, 616, 543, 221. If you are dialing another office on campus, you will need to only dial the last 5 digits of the person’s phone number. If you are dialing outside of campus, you must dial 9, the area code, then the phone number.

How do the phones work here at the Center?

Telephones are provided by the Center only for official business. Do NOT make personal or long distance telephone calls from department telephones.

During business hours, incoming telephone messages received by the main desk will be transmitted by email. Be assured that when a call is transferable, it will be done so, and in case of an emergency, a message will be transmitted directly to you, if possible.

Making CallsAnswering Phone Calls

Use a greeting along these lines when answering an RC phone: "Good morning, Robinson Center, this is ________. How may I help you?" Remember to use concise, professional language, be confident and cheerful, and do not divulge information the caller does not need to know or might not be legally allowed to know (for example, do not disclose information about a student's application to anyone who is not their legal guardian).

To make an On-campus phone call dial the last five digits of the 10 digit number – example 206-543-4160, dial 3-4160.
To make a local off-campus phone call dial ‘9’ first then the 10 digit number

Transferring Calls

To transfer a call to another UW unit or within RC...
Press the transfer button (at the bottom of the phone screen).
Enter the last five digits of the phone number (re: 3-4160).
Press transfer again.
Announce the caller to the person transferring to.
Press complete.

Voicemail

To retrieve a voice mail message from on-campus, see if there is a RED light on the phone set. If so, there is a message that needs to be retrieved.
Press the “Messages” button with the “envelope” on it on the phone. This is half way down the phone on the right side.
Listen to the prompts. Enter your password.
Press “1-1” to receive voice messages.
After hearing the message, press “7” to delete it.
To repeat the message, press “4”
To archive a message, press “9”
When done, press star “*”

To retrieve a voice mail message off-campus, dial 206-543-2121.
Listen to the prompt, press the “ # “ sign and enter your five digit mail box number (last five digits of your phone number).
Press “1-1” to receive voice messages. After hearing the message, press “7” to delete it.
To repeat the message, press “4”
To archive a message, press “9”
When done, press star “*”
